Turning WhatsApp DMs Into a Real Order List

WhatsApp is where Pakistan shops. It is also where orders go missing. How to keep selling on WhatsApp without running your business out of a chat thread.

WhatsApp is the most important sales channel in Pakistan and the worst order management system ever built. Both things are true at once, and you do not have to give up the first to fix the second.

What actually goes wrong

Nothing dramatic. It is always the same small failures:

None of this is a discipline problem. A chat app orders messages by time. A business needs them ordered by order.

Do not leave WhatsApp. Change what arrives on it.

The instinct is to move customers somewhere else — an app, a form, a website. In Pakistan that mostly means losing them. People trust WhatsApp and they are already in it.

The better move is to keep WhatsApp as the place the conversation happens, and stop using it as the place the order is assembled.

Practically: the buyer picks the item, size and quantity somewhere structured, and WhatsApp receives the finished order as one message.

That message looks like this rather than like a conversation:

New order 1x Embroidered Kurta — Medium — Rs 3,200 1x Dupatta — Rs 900 Total: Rs 4,100 (delivery included) Ayesha Khan, 0300-1234567 House 42, Street 7, Model Town, Lahore

You still reply. You still negotiate, confirm, and chat. But you are replying to a record, not building one.

Set up WhatsApp Business properly

If you are still on a personal WhatsApp, switch. It is free and takes ten minutes.

Labels are the part people skip and the part that helps most on a busy day.

The one message that saves the most money

Before you book any courier:

Confirming — [items], Rs [total], cash on delivery to [address]. Reply YES and I will dispatch today.

Refused parcels drop. You also get the address in writing, which settles the argument that occasionally follows.

Keep the history somewhere that is not the chat

Chats get archived, phones get replaced, and numbers change. If the only record of a year of orders is a thread, you have no record.

Whatever you use — a spreadsheet, a notebook, an order tool — the requirement is the same: given a customer name, you can see what they bought and when.

Lonecto sends orders to your WhatsApp as a message you can reply to, and keeps the same order in your dashboard with the customer attached. The conversation stays where your customers are; the record stops living there.

What to do about voice notes

Pakistani customers send voice notes. You will not stop this.

Reply in text with the order written out and ask them to confirm. It converts a voice note into something you can act on and creates the written record in the same move.

Frequently asked questions

Should I use WhatsApp Business or the API? WhatsApp Business, the free app, until you are past what one person can answer. The API costs money and needs a provider; it solves a problem you probably do not have yet.

Can I take orders on WhatsApp without sharing my personal number? Get a second SIM or use a spare number for the business account. It is worth it the first time you want a weekend.

How do I stop losing orders on busy days? Labels, and a rule: nothing gets marked done until it is dispatched. Most lost orders are ones that were answered and then forgotten.

Is Instagram DM as good as WhatsApp for orders? It works, with one catch — Instagram will not let a link pre-fill a message, so the buyer has to paste the order in themselves. Lonecto supports both; WhatsApp is smoother, Instagram is where some audiences simply live.

If your orders currently live in a chat thread, Lonecto will put them somewhere you can find them, without moving your customers off WhatsApp.
