How to write a short, fair return policy for a Pakistani online store, handle a parcel that comes back, refund without a gateway and restock properly.

A return policy for an online store in Pakistan does not need to be long. It needs to answer four things: how many days the buyer has, what condition the item must come back in, who pays the return delivery, and whether they get money back or an exchange. Everything after that is decoration.

The harder problem happens earlier. For a lot of small sellers more is lost to parcels refused at the door than to genuine returns — you pay the courier both ways, and the stock comes back days or weeks later depending on the courier and the route.

This post is about the policy itself, what to do when a parcel does come back, and how to refund when there is no gateway to reverse. Refusals are a different job, and the COD guide already covers them.

Refusals and returns are not the same problem

A refusal happens before the buyer owns anything. The rider arrives, the buyer does not answer, or answers and says no, or does not have the cash. No money changed hands, so there is nothing to refund. What you lost is two legs of courier charge and however long the round trip takes — time in which that item could not be sold to anybody else.

A return happens after delivery. The buyer paid cash, has the item at home, and wants the sale undone. Now you owe money back, and you have no gateway to reverse a card charge — you have to send it yourself.

They look similar on your shelf and they are fixed in completely different ways. Refusals are fixed before dispatch. Returns are fixed by your product photos, your sizing, and a policy people actually read.

What a return policy actually needs to say

Keep it to four lines: the window, the condition, who pays the return leg, and refund or exchange.

Then two things most small policies miss.

Separate "changed my mind" from "you sent the wrong thing". These are not the same event. A damaged or incorrect item is your problem or the courier's, and it should get a fast, generous path — replacement or refund, return delivery on you. Treating that buyer like a change-of-mind return is how you earn a public comment that costs more than the item did.

Say what is not returnable, on the product itself. Stitched-to-measure clothing, opened cosmetics, undergarments, clearance items. Written once at the bottom of a page nobody scrolled to is not the same as written under the price.

And only promise what you will actually do. A policy you quietly ignore when it is inconvenient is worse than having none, because now you have it in writing.

A short return policy you can copy

Returns You can return an unused item in its original packaging within 7 days of delivery. Message us on WhatsApp first with your order number and a photo — please do not send a parcel back before we reply. If we sent the wrong item, or it arrived damaged, tell us within 48 hours with a photo. We pay the return delivery and send a replacement or a full refund. If you changed your mind, the return delivery cost is yours and the original delivery charge is not refunded. Stitched-to-measure items and opened cosmetics cannot be returned. Refunds are sent by bank transfer or mobile wallet once the item reaches us and has been checked.

Adjust the days and the exclusions to what you sell. Then use the same wording everywhere — on your page, in your bio link and in your DM replies. The moment your chat answer differs from your published policy, the published one stops being worth anything.

What to fix before the parcel leaves

Most of what comes back could have been stopped by three small habits.

Send a dispatch message. Tracking number, courier name, and a rough day. Ask them to keep the cash ready. A buyer who knows a parcel is arriving tomorrow picks up the rider's call; one who forgot they ordered does not.

Fix the photos before you fix the policy. A lot of change-of-mind returns start as a photograph problem — colour that looked different, a fabric that felt cheaper, a size chart nobody could read. Shoot the actual item in daylight, give measurements in inches, and say the weight or fabric plainly. Large photos also fail to load on mobile data, so compress them before uploading.

Ask for a second number on high-value orders. The main number is already on your checklist; a backup — a brother, the shop next door — is what saves an expensive parcel when the first phone is switched off.

What to do when a parcel comes back

Open it on camera. Every time, before you touch anything, one unbroken clip of the sealed parcel and what is inside. This ends almost every argument about what condition something was in, and the few times you need it are the times it matters most.

Then log it against the order the same day: date returned, condition, the reason if you know it, and what the round trip cost you. Do that for a month and you can see for yourself whether your refusals cluster — one city, one courier, one product, one price point. A cluster is fixable. Vague memories of "a lot of returns" are not.

Message the buyer once, plainly and without accusation. Often the reason is boring and useful: the rider never called, or the address was for an office and it arrived on Sunday. Keeping that history with the order rather than in a chat thread is exactly the problem an order list solves.

Refunds when there is no card gateway

Nearly every small Pakistani seller takes cash, which means a refund is not a reversal — it is a payment you make. Handle it like one.

Agree the method in writing before anything moves, and take the account details in the chat rather than over a call so there is a record. Refund after the item is back with you and checked, and say so in the policy so the timing is not a surprise. Be explicit about whether the original delivery charge is included; for change-of-mind returns it usually is not. Keep the transfer screenshot with the order.

Offer an exchange or credit first. Many buyers prefer it, and it keeps the sale. But if your policy says refund, do not turn it into a fight when they ask for one.

Handling a repeat refuser

Track phone numbers, not names. Names get spelled three ways and addresses change; the number is the constant.

One refusal is not a pattern — riders come at the wrong time, people are at work. On the second, do not just go quiet. Ask for advance payment and say plainly why; the COD guide linked above has the wording, and there is no reason to write a second version of it here.

On the third, it is fine to simply say no. You are allowed to decline an order. Say it once, politely, and move on.

And check the pattern before you blame the buyer: if refusals are concentrated in one city or one courier, that is a delivery problem wearing a customer's clothes. Test a second courier there for a month.

Restocking without quietly losing money

A returned item is not automatically stock again. Check it properly — marks, smell, missing tags, that faint look of something worn once to an event. Then sort into three buckets: back to full price, sellable as slightly imperfect at a stated discount, or written off. Deciding is the important part. Parcels that sit undecided in a corner are losses you have not counted yet.

Repackaging costs real money — the bag, the tag, the tissue, the tape — and the two courier legs are already gone. On a low-margin item, one return can erase the profit from several successful orders, which is the honest argument for spending more time on photos and confirmations than on policy wording.

Update the stock count the same day you decide. Overselling an item you have not yet inspected creates a second refund from the first one.

Frequently asked questions

Do I have to accept returns in Pakistan? There is no single rule that tells a small Instagram seller exactly what to do. The rules differ from province to province, and the marketplaces set their own terms, which do not apply to your own page. In practice what binds you is what you published and what you said in the chat. If you are selling at real scale or have received a legal notice, that is a question for a lawyer, not a blog post.

How many days should the return window be? Seven days from delivery is easy to remember and easy to defend. Under three days reads as unfair and invites arguments; beyond two weeks leaves you holding stock you can no longer sell in season.

Who should pay the return delivery charge? The buyer, if they changed their mind. You, if the item was wrong, damaged or not as described. Write both lines down — the disputes are almost always about which situation this is, not about the money.

Can I refuse a return that comes back worn? Yes, if your policy says unused and in original packaging and you have your unboxing video. Consider offering partial credit anyway on a first-time buyer. A stubborn Rs 1,500 stand-off that ends in a public comment is rarely worth winning.
